About FlatWhite

FlatWhite is a Romanian company from Oradea that operates approximately 130 short-term rental units, with a volume of about 5,000 reservations per year (~400/month). An internal team of ~4 people (reservations, maintenance, housekeeping) plus external teams. Expansion plans in Cluj, Timişoara, and Braşov.

The Challenge

FlatWhite's operation was fragmented across multiple systems and costly manual processes:
  • Guest check-in: external software costing 500+ EUR/month plus manual messages through Hostify
  • Invoicing: manual calculation in Excel based on data exported from Hostify (two different scenarios per owner type)
  • Payment reconciliation: manual verification of bank statements vs invoices
  • Maintenance: Google Forms for periodic checks, WhatsApp/phone communication
  • Asset management: fragmented tracking per unit
  • Preventive maintenance: did not exist - everything was reactive

The Mobiversal Approach

The diagnosis showed that rip-and-replace was not the right option - Hostify (PMS), LULA (housekeeping), EasyBill (invoicing), and TTlock (locks) work well individually. The real problem: they don't talk to each other. Plus there were a few costly tools that were worth replacing entirely.
The decision: we build an orchestrator layer on top that unifies everything, replace what is costly (external check-in, Google Forms, Excel files), connect what works. Business OS.

What we built

Two main modules:
  • Invoicing, check-in, and reconciliation - automates the collection of guest data, the generation of invoices (2 scenarios: third-party owner with mirror re-invoicing vs operator owner), and payment verification
  • Operational - maintenance, housekeeping, periodic checks, asset management, and preventive maintenance
