About AgencyHub

AgencyHub was developed by Mobiversal as a product for agencies - companies that work on projects with variable durations, distributed teams, and a combination of internal employees with freelancers/external collaborators. This type of organization has specific needs that are not well covered by generalist tools (BambooHR, Asana, Jira), especially for:
  • The specifics of Romanian legislation (PFA, CIM, SRL, leave according to RO legislation)
  • Combined HR, CRM and PM visibility (who is available for new projects)
  • Granular roles for external collaborators (partial access)

The Challenge

The agencies we worked with (and ourselves, in our own operation) had the same pain pattern:
  • HR software - costly and didn't fit the Romanian specifics (PFA/CIM/SRL, paid leave, seniority bonus, special events, unpaid leave, sick leave according to Romanian legislation)
  • CRM software - overbuilt for enterprise sales, underbuilt for agencies: no link between won deals and project delivery, no visibility from offer to contract to active project
  • Fragmented PM tools - without native Git integration, without a unified team capacity view
  • Lack of unity between HR and PM - hard to know who has time available for new projects
  • Lack of granular roles for external collaborators (freelancers, contractors, partners) - they either had too much access, or none at all

The Mobiversal Approach

The decision: we develop internally a unified product - Replace PM and HR platforms into a single API-first system that works for agencies like ours and similar ones. Automation Pro as the deliverable package for other agencies that want to adopt the system.
Technical philosophy: API-first design - every operation in the UI is an operation in the API, which makes the platform extensible (BI dashboards, automations, future integrations).

What we built

Module A - Project Management (target: <10 sec to create any task):
  • Independent projects with role per project (Project Lead, Technical Staff)
  • Strict 2-level task hierarchy (Tasks + Sub-tasks)
  • Fixed and uniform status workflow: Backlog → To Do → In Progress → Review/Blocked → Done
  • Priority (Critical/High/Medium/Low) + due dates
  • Time tracking with user/duration/date/notes per entry
  • Git integration with event-to-status mapping: PR opened → In Progress, PR approved → Review, PR merged → Done
  • Kanban board with drag-drop, filtering by status/assignee/priority/due date
  • Image + document attachments (10-25 MB)
  • Comments with @mentions
Module B - HR Management:
  • Complete employee profiles (personal, contact, address, org position)
  • Contracts with Romanian specifics (PFA / CIM / SRL, FT/PT, start/end dates, status, comments)
  • Compensation versioning (pay type, rate, currency, effective date)
  • Benefits management with assignment history
  • Romanian time-off: Home Office, Paid Leave, Seniority Bonus, Special Events, Unpaid Leave, Sick Leave
  • Approval workflow with escalation to System Admin for edge cases (top exec without a manager, deactivated manager)
  • Team calendar with out-of-office (name + dates), without leakage of the personal category
  • Hiring pipeline with job openings + candidate management (resume upload, web presence)
  • Dynamic org chart generated from the reporting relationships
Cross-cutting components:
  • 3 user types: System Administrator, Internal User, External Collaborator (PM only, no HR)
  • User identity model: 1 user → 0..1 employee record (External Collaborators don't have employee records)
  • Cross-module audit log - synchronous writes within the same transaction, append-only, immutable
  • Notification system across 3 channels (in-app, instant email, daily digest) with user preferences
  • Soft deletes everywhere for referential integrity
  • S3-compatible file storage
